Power BI project setup for online visibility and PowerPoint integration:
Power BI Configuration
1. Publish the report to Power BI Service
- Create your report in Power BI Desktop
- Publish the report to the Power BI Service workspace
- Ensure your team has appropriate permissions to view the report
2. Configure automatic data refresh
- In Power BI Service, go to dataset settings
- Set up scheduled refresh (e.g., daily, weekly)
- If using cloud data sources (SharePoint, SQL Azure), refresh can be more frequent
PowerPoint Integration
Recommended method: Power BI Add-in for PowerPoint
- Install the Power BI add-in for PowerPoint
- Insert visuals directly into slides using "Insert > Power BI"
- Charts will automatically update when you open the presentation (with internet connection)
Alternative: Publish to Web (only for non-sensitive data)
- Use "Publish to Web" in Power BI Service to get a public link
- Insert as iframe or hyperlink in PowerPoint
Benefits of this approach
- Automatic updates: Data refreshes without manual intervention
- Interactivity: Team can interact with visuals directly in PowerPoint
- Security: Access control through Power BI Service
- Consistency: Single source of truth for all data
Technical considerations
- Ensure your team has appropriate Power BI licenses
- For offline presentations, consider exporting static snapshots when needed
- Test internet connectivity in environments where you'll present
This setup ensures your presentation always shows the most recent data without having to manually recreate charts each time.
